Supplier data for product passports

Maintained by , editor · 3 issues in this hub

In short

Most Digital Product Passport fields you cannot answer today are held by somebody else — cell suppliers, converters, recyclers, test houses — so your programme timeline is theirs, not yours. The lever is contractual: a data-supply clause naming fields, format, attestation, update obligation, and flow-down, attached at the next scheduled renewal. Classify every field as available, derivable, or supplier-dependent before you talk to a platform vendor.

What is supplier data for product passports, and why does it matter?

Every readiness assessment we have seen converges on the same distribution: a minority of required fields already exist in the PLM or ERP, a few can be derived, and the rest depend on a supplier who has never been asked. That third bucket is the programme.

This hub covers how to get that data: what a workable clause says, how to sequence suppliers by renewal date rather than importance, what attestation means when you are the one signing, and how importers create leverage over manufacturers outside the EU.

What do you need to get right?

The classification
Available, derivable, or supplier-dependent — run it per field, against the bill of materials.
The clause
Field annex, named format, attestation by a named signatory, update obligation, flow-down, narrow audit rights.
The sequencing
Order suppliers by renewal date; a clause added at renewal costs a fraction of a mid-term amendment.
The realistic cycle
Two to three quarters from first request to attested data for a supplier who has not been asked before.

Frequently asked questions

What should a DPP supplier data clause contain?
An updatable field annex, a named format and transport channel, an accuracy attestation by a named signatory, an update obligation with a response window, flow-down to sub-suppliers, and narrowly scoped audit rights.
How long does supplier data collection take?
Plan two to three quarters per supplier tier for attested data where no prior obligation exists — considerably longer than the internal system work.
What if a supplier refuses to provide passport data?
Treat it as sourcing information: price the risk, dual-source, or accept it with a recorded rationale. The written decision is what protects the person who signs the declaration.
